The 2025 Global Cvent Travel Managers Report, which surveyed over 1,600 corporate travel decision-makers, shows that 91% of travel managers now handle hotel and venue sourcing for meetings and events. This represents a substantial increase from 2017’s 64%. The consolidation has resulted in cost reductions for 83% of organizations, with enhanced operational efficiency cited as the primary benefit by 49% of respondents globally and 53% in Europe.

Face-to-Face Meetings Remain Critical Despite Cost Pressures

• Customer acquisition drives 43% of face-to-face meetings globally
• 71% of travel managers expect higher travel costs in 2025
• Incentive trips and internal meetings (both 31%) are most likely to face cuts
• Only 13% plan to reduce technology spending

Technology and Sustainability Shape Decision-Making

Digital tools play a crucial role in venue selection, with 48% of travel managers citing room specifications, images, and videos as key factors in RFP submissions. European travel managers particularly value sourcing platforms, with 43% noting their importance in bid analysis.

Sustainability remains a priority, with 30% globally and 32% in Europe stating it will influence business travel decisions through 2026. European managers specifically value waste reduction (32%) and locally sourced food (29%).
